NOX Systems LLC (“NOX Systems,” “NOX,” “we,” “us,” or “our”) operates noxgov.com (the “Site”). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit the Site, submit its contact form, join the NOX Talent Network, or otherwise communicate with us about the Site.
This policy does not govern information processed for customers under a separate contract, statement of work, or customer-specific privacy notice. Those arrangements are controlled by their applicable terms.
2. Information we collect
Contact and business information
When you contact us, we may receive:
- Your name and email address;
- Your company or organization, if you choose to provide it;
- The contents of your message; and
- Information you provide in later email, telephone, or business communications.
Talent Network information
If you join the NOX Talent Network, we may receive:
- Your name, email address, telephone number, and general location;
- Your resume and the education, employment history, skills, certifications, and other professional information it contains;
- Your primary discipline, work interests, professional summary, and profile or portfolio link;
- A self-reported, general clearance-eligibility or public-trust level, if you choose to provide it; and
- Internal review notes and status information created as we consider potential opportunities.
We do not ask for a clearance identifier or classified details. Please do not include sensitive personal identifiers or restricted government information in your resume or submission.
Technical and operational information
Our hosting and security infrastructure may automatically process standard server-log and request information, such as an IP address, browser and device type, requested page, referring page, timestamps, and events relevant to reliability, fraud prevention, or security.
Our forms also use essential session identifiers and privacy-preserving network checks to limit spam, malicious files, and repeated submissions. We do not use these controls for advertising or cross-site tracking.
Do not submit classified information, controlled unclassified information, export-controlled technical data, government system credentials, Social Security numbers, payment-card information, protected health information, or other sensitive records through the public contact or Talent Network forms.
3. How we use information
We may use personal information to:
- Respond to inquiries and communicate with you;
- Evaluate and manage prospective or existing business relationships;
- Review Talent Network profiles, search for relevant skills, and contact people about potential direct, subcontract, consulting, or teaming opportunities;
- Maintain recruiting and applicant records and document consideration for opportunities when appropriate;
- Operate, maintain, troubleshoot, and improve the Site;
- Detect, prevent, and investigate spam, misuse, fraud, and security incidents;
- Comply with law, regulation, legal process, and contractual obligations; and
- Establish, exercise, or defend legal claims.
4. How we disclose information
We may disclose personal information to the following categories of recipients when reasonably necessary:
- Service providers supporting website hosting, email delivery, security, and other business operations;
- Customers, prime contractors, and teaming partners when we have contacted you about a specific opportunity and you direct us or consent to sharing your profile;
- Professional advisers such as attorneys, accountants, auditors, and insurers;
- Government authorities or other parties when required by law, legal process, or reasonably necessary to protect rights, safety, and security;
- Transaction participants in connection with a financing, reorganization, merger, acquisition, or transfer of business assets; and
- Other recipients at your direction or with your consent.
We do not sell or rent personal information. We do not disclose personal information for cross-context behavioral advertising or use it to build advertising profiles.
6. Retention and security
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including to maintain business records, resolve inquiries, meet contractual or legal requirements, and protect the Site and our operations. Retention periods vary according to the nature and context of the information.
Talent Network submissions are generally retained for up to 24 months after submission so we can consider them for future opportunities. We may retain a record longer when required by law, contract, a pending claim, or an applicable employment-record obligation. We may also delete or de-identify information sooner when it is no longer needed, subject to those obligations.
We use reasonable administrative, technical, and physical safeguards appropriate to the information we process. The Site uses HTTPS/TLS in transit. Talent Network profile details and resumes are stored outside the public website directory with restricted access, and resume files and identifying profile data are encrypted at rest. No system, storage method, or internet transmission is completely secure, and we cannot guarantee absolute security.
7. Your privacy choices
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or a portable copy of personal information associated with you. You may also have the right to confirm whether we process your personal information and to appeal a decision concerning a privacy request.
To submit a request, email contact@noxgov.com with “Privacy Request” in the subject line or write to the address below. We may need to verify your identity and authority before completing a request. We will not discriminate against you for exercising an applicable privacy right.
To update or withdraw a Talent Network profile, email careers@noxgov.com from the address used to submit it. A deletion request may be limited where we must preserve recruiting or employment records under applicable law.
If we decline a request and applicable law gives you a right to appeal, reply to our decision with “Privacy Appeal” in the subject line and explain your concern.
8. Children’s privacy
The Site is intended for business and government audiences and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the Site, contact us so we can review and delete it as appropriate.
9. Third-party websites
The Site may link to websites operated by others. Their privacy and security practices are governed by their own policies, and NOX Systems is not responsible for those practices.
10. Processing in the United States
NOX Systems is based in the United States, and information described in this policy may be processed and stored in the United States. Data protection laws may differ from those in your country of residence.
